To ensure responsible use of large language models (LLMs), organizations must establish strong data access controls:

  • Definition

    This begins with clearly defining what types of data are permitted versus prohibited—explicitly restricting the use of privileged or client-confidential information unless proper consent is obtained, or documents are fully anonymized. 

  • Governance

    Governance is essential; IT, Compliance, and Knowledge Management teams should be tasked with creating and enforcing policies that outline who can use LLMs and what data they are allowed to input. To support accountability, all LLM interactions should be logged, including details such as user identity, timestamps, and the data accessed or submitted. Regular audits should be conducted to verify compliance and quickly address any breaches. 

  • Technical

    On the technical side, usage should be restricted to approved teams or secure, private platforms, with options like sandbox environments considered to prevent data from being retained or externally shared.

  • Education

    Finally, user education is critical; Organizations should provide clear guidelines on acceptable use and incorporate real-world examples to help employees understand how to engage with LLMs safely and effectively.
